Who it's for / Dog walkers & pet sitters
Dog walkers and pet sitters charge by the walk, the drop-in visit or the night, with extras for a second dog, a holiday or medication. Regular walking clients are often invoiced every week or once a month for the walks done, and a holiday house sit is often booked months ahead with a deposit. Tell Clodou what you did and at what price: it writes the invoice, keeps each household's notes and tracks who has paid.
"Invoice the Nguyens for this week: 5 walks at $25 and a second dog at $10 a walk" creates the invoice with two lines: $175 before tax. Clodou does not read your calendar or track walks, so give it the number of walks; for one line per walk, give the dates.
Quote a sit per night, with the holiday rate and any extras on their own lines and your deposit terms in the note. When the client books, turn the quote into the invoice and record the deposit as a partial payment; Clodou keeps the balance.
Add the household once as the client, with each owner as a contact. Log notes on it, such as the pets' names and feeding times, and ask "what are my notes on the Harts?" before a visit.
Walks are often priced per walk by length, such as $25 for 30 minutes, drop-in visits per visit, and overnight sitting per night. Clodou takes any quantity and unit price: 5 walks at $25 is one line of $125, and 7 nights at $75 is one line of $525. Regular walking clients are often invoiced every week or once a month for the walks done, with the number of walks as the quantity.
Many pet sitters charge extra for a second pet, for holidays, for a booking at short notice or for giving medication. Give Clodou each extra as its own line with the price you charge, such as holiday rate, 2 nights at $20, so the client sees what they pay for. Clodou never adds a fee or a surcharge by itself.
For a holiday sit booked in advance, write your deposit terms in the quote's note, turn the quote into one invoice when the client books and record the deposit as a partial payment; Clodou keeps the balance until the last payment. A household with the same walks every week can pay a fixed monthly amount: set it up as a retainer, and Clodou prepares one draft invoice a month for you to check.
Step 1
Quote Olivia Hart a house sit from December 20 to 27: 7 nights at $75, the holiday rate on December 24 and 25 at $20 a night, and Pepper's medication at $5 a day for 7 days. Note: 30% deposit to book, balance due December 27.
Adds Olivia Hart as a client and creates quote DEV-0009 with three lines: house sitting, December 20 to 27, 7 nights at $75, $525; holiday rate, December 24 and 25, 2 nights at $20, $40; medication, 7 days at $5, $35. No tax is set on this workspace, so the total is $600, and the deposit terms print in the note.
Step 2
Olivia booked and paid the $180 deposit. Turn DEV-0009 into an invoice due December 27; I sent it to her.
Creates invoice INV-0084 for $600 with the same lines and note, plus a reference to DEV-0009, and sets the due date to December 27. It marks INV-0084 as sent and shows an approval card to record $180 received. Once you approve it, $420 is still owed.
Step 3
Invoice the Nguyen family for this week: 5 walks for Biscuit at $25, and Maple came along on 3 of them at $10 a walk.
Finds the Nguyen family and creates draft invoice INV-0085 with two lines: dog walks, Biscuit, 5 at $25, $125.00; second dog, Maple, 3 walks at $10, $30.00. Total: $155.00.
Step 4
I sent INV-0085. The Nguyens paid the $155, and Olivia paid her $420 balance early.
Marks INV-0085 as sent and shows two approval cards: $155.00 on INV-0085 and $420.00 on INV-0084. Once you approve them, both invoices are marked paid and nothing is owed.
Invoice the Nguyen family for this week: 5 walks at $25 and a second dog at $10 a walk
Quote Olivia Hart a 7-night house sit from December 20 at $75 a night
Note for the Harts: Pepper eats twice a day, at 7 am and 6 pm
