Tutoring invoices for families, from the lessons you logged

Private tutors, music teachers and language teachers are usually paid by a parent, not by the student, and one family can have two or three children in lessons. Many charge per lesson or by the hour and send each family one invoice a month for the lessons given; others sell a block of lessons paid in advance. Log each lesson as it happens, and Clodou turns last month's lessons into one invoice per family and keeps track of who has paid.

Sound familiar?

  • Lessons counted from a paper diary at the end of every month
  • Two children in one family, two subjects at two rates, and one invoice to get right
  • A lesson missed without notice that your policy charges for, but nobody wrote down
  • No clear view of which families have paid for last month and which still owe

How Clodou helps

One client per family, a contact per parent

Add the family once as the client, with each parent as a contact and their phone and email. Each child gets a project linked to the family with your hourly rate for their subject or instrument, so a maths rate and a piano rate can sit on the same invoice.

Monthly invoices from the lessons you logged

Log each lesson in minutes or hours as it happens. At the start of the month, ask Clodou to invoice a family's unbilled time for last month: it makes one draft invoice with a line per lesson and its date, at each child's rate, and marks those lessons billed.

Who has paid, family by family

Record each payment when it arrives, after your approval. Ask "who owes me money?" and get every overdue invoice with what is still owed; Clodou can prepare a polite reminder for you to approve.

How tutors bill, and how Clodou handles it

Per lesson or per hour, invoiced monthly

Many tutors and music teachers charge per lesson or by the hour and invoice each family once a month for the lessons given. Create a project for each student, linked to the family, with your hourly rate, and log each lesson as it happens: 1 hour of maths, or 45 minutes of piano, which is 0.75 hour. At the start of the month, ask Clodou to invoice last month's unbilled time. It makes one draft invoice for the family in your workspace currency, with one line per lesson and its date, and marks those lessons billed so none is invoiced twice. If you would rather not log lessons, ask for the invoice directly: Leo, 4 maths lessons at $50, is one line of $200.

Several children, one family, one invoice

The parent who pays is usually the client, so add the family once and each parent as a contact. Brothers and sisters can share one invoice. With logged lessons, each child's lessons come from their own project at their own rate, so name the student when you log a lesson and the line shows it. With a direct invoice, give one line per student, such as Leo, maths, 4 lessons at $50, and Maya, piano, 4 lessons at $45. Clodou writes the prices you give and never picks a rate for you.

Blocks paid in advance, and missed lessons

Some families pay for a block of lessons up front, such as a term of 10 lessons. That is one invoice with one line: 10 guitar lessons at $40, $400. Clodou does not count the lessons down for you, but you can log each one on the student's project as non-billable time to see how many are used. If your policy charges for lessons missed or cancelled late, write the policy in the invoice note and add each missed lesson as its own line at the amount the policy states. Clodou never adds a cancellation fee by itself.

Two children, one family, October's lessons on one invoice

  1. Step 1

Add the Haddad family as a client, with Grace and David Haddad as contacts. Create two projects for them: Leo's maths at $50 an hour and Maya's piano at $60 an hour.

Adds the Haddad family as a client with two contacts, Grace as the primary one and David, and creates two projects linked to the family: Leo, maths, at $50 an hour; Maya, piano, at $60 an hour.

  2. Step 2

Log today's lessons for the Haddads: 1 hour of maths with Leo and 45 minutes of piano with Maya

Logs two billable entries dated October 27, each on the child's project with their name in the description: Leo, maths, 1 h; Maya, piano, 0.75 h. They stay unbilled, with the lessons you logged earlier in the month, until you invoice them.

  3. Step 3

Invoice the Haddads for last month's unbilled lessons. Maya missed her lesson on October 20 without notice, so add it at $45, and put my policy in the note: lessons cancelled with less than 24 hours' notice are charged in full.

On November 2, creates draft invoice INV-0048 from the 7 lessons logged in October, one line per lesson with its date: 4 maths lessons for Leo, 1 h at $50, $200 in all; 3 piano lessons for Maya, 0.75 h at $60, $45 each, $135 in all. It adds the missed lesson of October 20 as its own line, $45, and your policy in the note. No tax is set on this workspace, so the total is $380.

  4. Step 4

I sent INV-0048 to Grace and she paid the $380 by bank transfer

Marks INV-0048 as sent and shows an approval card to record $380 received. Once you approve it, INV-0048 is marked paid and the Haddads owe nothing.

Questions

How do I invoice for tutoring services?
Tell Clodou who pays, what you taught and your price. "Invoice the Haddad family for 4 maths lessons with Leo at $50" adds the client if needed and creates an invoice of $200 with your logo and business details. If you log lessons as you go, ask for last month's unbilled time instead, and the lessons become the invoice's lines.
Do I need a tutoring invoice template?
No. Clodou makes each invoice as a PDF with your logo, your business details and the next number in your sequence, so every tutoring or music lesson invoice looks the same. It shows the family, each lesson or block with its price, the total and the due date, with an optional note for your policy or how to pay. Clodou applies the tax rate you set, or none: whether your lessons are taxed is for you to check with your accountant.
Can one invoice cover two or three children?
Yes. The family is the client, and each child can have a project with their own rate. Invoicing the family's unbilled time puts every child's lessons on one draft invoice, one line per lesson with its date. For a direct invoice, give a line per student, such as Leo, maths, 4 lessons at $50, and Maya, piano, 4 lessons at $45.
How do I charge for a missed or late-cancelled lesson?
Write your policy in the invoice note, such as: lessons cancelled with less than 24 hours' notice are charged in full. Then add the missed lesson as its own line at the amount your policy states, for example Maya, piano lesson missed without notice, October 20, $45. Clodou never adds a cancellation fee, a late fee or a discount by itself.
Does Clodou book lessons or take payments from parents?
No. Clodou does not book lessons, send calendar invites, run a parent portal or take card payments. Keep your calendar or booking tool for the timetable. On Solo and Team, your own payment link prints on invoices, and you record each payment when it arrives. A repeating monthly task can remind you to invoice, and it shows in your morning plan on the day.
What does it cost?
Free covers up to 5 clients and 20 AI actions a month, with no separate cap on quotes and invoices (making them in the chat uses AI actions). Solo, with your payment link on invoices, is $29 a month per workspace. Team, with 5 seats and automatic reminders, is $79 a month. Prices are in USD, and the first 14 days are a free Team trial.
