Lawn care and landscaping businesses bill in several ways at once: a price per mow for regular lawns, a fixed monthly fee for a season's maintenance contract, and a quoted price for one-off jobs such as a spring cleanup, mulching or a new planting bed, with materials on top. Regular customers are often invoiced once a month for the visits made. Tell Clodou what you did and at what price, and it writes the invoice, prepares each contract's monthly draft and keeps track of who has paid.
"Invoice the Garcias for October: 4 mows at $55 and a hedge trim at $90" creates the invoice with two lines: $310 before tax. Clodou does not track your routes or visits, so give it the number of visits; for one line per visit, give the dates.
Set up a maintenance contract's fixed monthly fee once as a retainer. Clodou prepares one draft invoice a month for you to check, and extra work goes on it as its own line. Pause the retainer when the season ends and resume it in spring.
Quote a cleanup, mulching or planting job with labor and materials on separate lines, at the prices you give. When the customer says yes, turn the quote into the invoice, and log what you paid for materials as expenses on the job's project.
Regular mowing is often priced per visit for each property, and one-off work by the hour or by the job. Clodou takes any quantity and unit price: 4 mows at $55 is one line of $220, and two people working 3 hours at $45 an hour each is 6 hours at $45, $270. Customers on a weekly or every-two-weeks schedule are often invoiced once a month, with the number of visits as the quantity. For a bigger job, send a quote first and turn it into the invoice once the customer says yes.
Some customers, often HOAs and commercial properties, pay the same amount each month of the season for an agreed list of work, such as weekly mowing, edging and blowing. Set it up as a retainer with the amount, the start date and a description, which becomes the invoice line. Clodou prepares one draft invoice a month and sends nothing on its own. Extra work, such as a storm cleanup, goes on that month's draft as its own line at the price you agreed. Pause the retainer when the season ends, and resume it in spring.
Mulch, soil, stone and plants are often billed by the yard, the bag or the plant at the price you charge, with installation included or on its own line. Give Clodou each price and it never adds a markup or a fee by itself. Log what you paid the supplier as an expense on the job's project, from a sentence or a receipt photo you confirm, to see what the job cost. Whether sales tax applies to materials or to the service depends on where you work: check with your accountant, and Clodou applies the rate you set, per line if needed.
Step 1
Quote Dana Brooks for a spring cleanup at $350, 6 yards of mulch installed at $85 a yard and 12 perennials planted at $18 each. Also create a project, Brooks spring cleanup.
Adds Dana Brooks as a client and creates quote DEV-0031 with three lines: spring cleanup, $350; mulch, installed, 6 yards at $85, $510; perennials, planted, 12 at $18, $216. No tax is set on this workspace, so the total is $1,076. Creates the Brooks spring cleanup project, linked to Dana.
Step 2
Dana said yes and the job is done. Turn DEV-0031 into an invoice. I paid Green Valley Supply $264 for the mulch and plants; log it on the Brooks project.
Creates invoice INV-0057 for $1,076 with the same lines and the note "Based on quote DEV-0031." Records a $264 expense from Green Valley Supply on the Brooks spring cleanup project.
Step 3
Invoice the Garcia family for October: 4 mows at $55, plus the hedge trim on October 17 at $90
Finds the Garcia family and creates draft invoice INV-0058 with two lines: lawn mowing, 4 visits at $55, $220.00; hedge trim, October 17, $90.00. Total: $310.00.
Step 4
I sent INV-0057 and INV-0058. Dana paid the $1,076, and the Garcias have paid $220 so far.
Marks both invoices as sent and shows two approval cards: $1,076.00 on INV-0057 and $220.00 on INV-0058. Once you approve them, INV-0057 is marked paid and the Garcias still owe $90.00.
Invoice the Garcia family for October: 4 mows at $55 and a hedge trim at $90
Set up a $240 monthly retainer for Maple Court HOA from April 1: weekly mowing, edging and blowing
Quote Dana Brooks a spring cleanup at $350 and 6 yards of mulch installed at $85 a yard
