Cleaning invoices and quotes, written between jobs

House cleaners and small cleaning companies price their work in a few ways: a flat price per visit for a regular home, an hourly rate for a deep or move-out clean, a fixed monthly fee for an office. Regular clients are often cleaned every week or every two weeks and invoiced once a month, with extras such as an oven or inside windows on top. Tell Clodou what you did and at what price, and it writes the invoice, prepares each office's monthly draft and keeps track of who has paid.

Sound familiar?

  • A month of weekly cleans counted off the calendar before every invoice
  • An oven clean or inside windows done on the day and left off the invoice
  • Turnover cleans for one host across several properties, each one easy to miss
  • Running out of trash bags or floor cleaner because nobody tracked the supplies

How Clodou helps

A month of cleans on one invoice

"Invoice the Lindqvists for 4 cleans at $140 and an oven clean at $45" creates the invoice with two lines: $605 before tax. Clodou does not read your calendar, so give it the number of visits; if a client wants each visit dated, ask for one line per clean.

Office contracts as monthly drafts

Set up each office's fixed monthly fee once as a retainer. Clodou prepares one draft invoice a month; you add any extra work as its own line and send it when it is right. Pause the retainer when a contract ends.

Supplies and a low-stock list

Keep cleaning products, cloths and bags as products with a stock level and a reorder level, and correct the count when you use or buy more. Ask what is running low and Clodou lists it. A purchase order stays a draft until you approve it, and Clodou never orders from a supplier.

How cleaning businesses bill, and how Clodou handles it

Per visit, per hour or a flat price per home

Regular home cleaning is often priced per visit or as a flat price for the home, and one-off, deep or move-out cleans by the hour or by the job. Clodou takes any quantity and unit price: 4 cleans at $140 is one line of $560, and 3.5 hours at $48 is one line of $168. Clients cleaned every week or every two weeks are often invoiced once a month, with the number of visits as the quantity. For a one-off job, send a quote first and turn it into the invoice once the client says yes.

Office contracts at a fixed monthly fee

Offices, shops and clinics often pay a fixed monthly fee for an agreed schedule, such as three evenings a week. Set it up as a retainer with the amount, the start date and a description of the schedule, which becomes the invoice line. Clodou prepares one draft invoice a month, and nothing goes out until you review it. Extra work, such as a carpet clean after a refit, goes on that month's draft as its own line at the price you agreed. When a contract ends, pause the retainer.

Extras, turnovers and supplies

Extras such as an oven, the inside of the fridge, inside windows or a deep clean are often priced on their own. Give Clodou the price and each becomes its own line; it never adds an extra or a fee by itself. A short-let host with several properties can be one client with a line per turnover, naming the property and the date. If you resell supplies or bill them back, put them on their own line at the price you charge. Whether sales tax or VAT applies is for you to check with your accountant; Clodou applies the rate you set.

One month: a weekly home client and an office contract

  1. Step 1

Set up a $650 monthly retainer for Brightline Dental from November 1: office cleaning, Monday, Wednesday and Friday evenings

Finds Brightline Dental and sets up the retainer: $650 a month with the line "Office cleaning, Monday, Wednesday and Friday evenings", first draft dated November 1. No tax is set on this workspace.

  2. Step 2

Prepare this month's retainer invoices, and add the waiting room carpet clean on November 14 to Brightline's draft at $180

Creates draft invoice INV-0048 for Brightline Dental with the retainer line, $650.00, then adds carpet clean, waiting room, November 14, $180.00. The draft totals $830.00 and is not sent on its own.

  3. Step 3

Invoice the Lindqvist family for November: 4 weekly cleans at $140, plus the oven clean on November 20 at $45

Finds the Lindqvist family and creates draft invoice INV-0049 with two lines: weekly home clean, 4 at $140, $560.00; oven clean, November 20, $45.00. Total: $605.00.

  4. Step 4

I sent INV-0048 and INV-0049. Brightline paid the $830, and the Lindqvists have paid $300 so far.

Marks both invoices as sent and shows two approval cards: $830.00 on INV-0048 and $300.00 on INV-0049. Once you approve them, INV-0048 is marked paid and the Lindqvists still owe $305.00.

Questions

How do I write an invoice for house cleaning?
Tell Clodou the client, the cleans and your price, such as 2 cleans at $160 for Maria Lopez. It finds or adds the client and writes the invoice: your logo and business details, an invoice number in your sequence, a line with the quantity and price, extras on their own lines and your payment terms in the note. If a price is missing, it asks instead of guessing.
Can I put a month of weekly cleans on one invoice?
Yes. Give the number of visits as the quantity and your price per clean as the unit price: 4 cleans at $140 is one line of $560. If a client wants each visit listed, ask for one line per clean with its date. Clodou does not count visits from a calendar, so the number comes from you.
How do I invoice a short-let host for turnover cleans?
Keep the host as one client and give each turnover its own line, naming the property and the date, such as Harbor Loft, turnover, October 3, $95. Linen changes or guest supplies you restock go on their own lines at the price you agreed. Invoice after each turnover or once a month, as agreed with the host. Clodou does not connect to booking platforms or read reservation calendars.
Does Clodou book cleans or schedule my staff?
No. Clodou does not book cleans, schedule or dispatch staff, plan routes, track hours by GPS or run payroll. It handles the business side: clients, quotes, invoices, payments, expenses and supplies. A repeating task, weekly or monthly, can remind you of a regular visit, and it shows in your morning plan on the day it is due.
Can my cleaning crew use it?
Yes. Team includes 5 seats for $79 a month per workspace: invite each person by email as an owner, admin or member. Everyone works in the same workspace from the chat, while recording a payment, emailing an invoice to a client and emailing a payment reminder wait for the approval of an owner or admin.
What does it cost?
Free covers up to 5 clients and 20 AI actions a month, with no separate cap on quotes and invoices (making them in the chat uses AI actions). Solo, with your payment link on invoices, is $29 a month per workspace. Team, with 5 seats and automatic reminders, is $79 a month. Prices are in USD, and the first 14 days are a free Team trial.
