Who it's for / Video editors
Video editors bill in several ways: a price per finished video for creators and social clips, a project fee for a brand film or a wedding, a day rate for edit days on agency work. On top come revision rounds, rush turnarounds and the stock footage or music you bought for the edit. Tell Clodou what you agreed and it writes the quote, turns it into the invoice and keeps track of the deposit and the balance.
"Invoice Halcyon Studio for 6 short-form edits at $120 and a $100 rush fee" creates the client if needed and the invoice with two lines: $820 before tax. Edit days work the same way, and half days are just a quantity.
Log stock footage, music licences and plug-ins as expenses on the client's project, or snap the receipt and confirm the amounts Clodou reads. The project shows these costs next to its budget, and you ask for them as separate invoice lines at what you paid.
Your logo, business details and a note for the terms that matter: revision rounds included, delivery formats, the payment schedule and any licence terms you write. The note carries over when the quote becomes an invoice.
Short-form and channel work is often priced per finished video, brand films and event edits as a project fee, and agency or post-production work by the edit day, with a half-day rate for shorter sessions. Clodou takes any quantity and unit price: 6 short edits at $120 is one line of $720, and 3.5 edit days at $500 is one line of $1,750. For a project, quote the fee first and turn the quote into the invoice once the client books.
Project work is often paid in stages: a deposit to start, a payment when the rough cut is delivered and the balance on the final export. Turn the accepted quote into one invoice and record each payment as a partial payment when it arrives; Clodou keeps the balance on that invoice. Write the included revision rounds in the quote's note, and bill extra rounds, rush turnarounds or an extra vertical version as their own lines at the price you agreed. Clodou never adds a fee you did not give it.
Creators and brands that publish every week often pay a fixed monthly fee for a set number of edits, such as four long-form videos and eight shorts. Set it up as a retainer with the amount, the start date and what it covers, and Clodou prepares one draft invoice each month. You review it, add any extra videos or rush fees as separate lines, and only then send it.
Step 1
Quote Northwind Coffee for a 90-second brand film: 4 edit days at $550 and a licensed music track at $100, at cost. Note: two revision rounds included; $1,000 deposit to start, $650 at rough cut, $650 on final delivery.
Adds Northwind Coffee as a client and creates quote DEV-0012 with two lines: edit days, 4 at $550, $2,200; music licence, $100. No tax is set on this workspace, so the total is $2,300. The rounds and the payment schedule print in the note.
Step 2
Northwind booked. Turn DEV-0012 into an invoice.
Creates draft invoice INV-0034 for $2,300 with the same lines and note, plus a reference to DEV-0012. You download the PDF and send it to Northwind.
Step 3
I sent INV-0034 to Northwind and they paid the $1,000 deposit
Marks INV-0034 as sent and shows an approval card to record $1,000 received. Once you approve it, $1,300 is still owed.
Step 4
Northwind paid $650 at the rough cut on INV-0034
Shows an approval card to record the payment. Once it is approved, $650 is still owed, the payment due on final delivery, and you can ask what Northwind owes at any time.
Quote Northwind Coffee for 4 edit days at $550 and a $100 music licence at cost
Invoice Halcyon Studio for 6 short-form edits at $120, plus a $100 rush fee
Log $90 of stock footage on the Northwind brand film project
