GST invoice template for New Zealand sole traders

For sole traders and small businesses in New Zealand that charge GST. Since 1 April 2023, Inland Revenue asks for taxable supply information rather than a tax invoice. Here is what to show at each threshold, with a sample GST invoice you can download as a PDF.

What an invoice must show in New Zealand

  • Your name or trade name

Needed at every level, including supplies of NZ$200 or less. [1]

  • Your GST number

Needed for supplies over NZ$200. [1]

  • The date

The date of the invoice or, where no invoice is issued, the time of supply. [1]

  • What you supplied

A description of the goods or services, at every level. [1]

  • The amounts with and without GST

For supplies over NZ$200: the GST-exclusive amount, the GST amount and the GST-inclusive amount. Or the GST-inclusive amount with a statement that GST is included, when GST is charged at the standard rate on everything listed. [1]

  • The buyer, over NZ$1,000

When the buyer is GST registered: their name and one or more of their address (physical or postal), phone number, email address, trading name if different, New Zealand Business Number or website address. [1]

  • Amounts in New Zealand dollars

IRD's GST guide says amounts of money in taxable supply information must be expressed in New Zealand currency. [2]

  • The title "tax invoice" is optional

You do not need to change the wording of your documents: you can keep providing the information in a single document marked "tax invoice". [3]

Rules worth knowing

What changed on 1 April 2023

New laws replaced the requirement to use tax invoices with a more general requirement to provide and keep records called taxable supply information. [3]

Invoicing that complied with the old rules complies with the new ones, and the way GST is worked out did not change. [3]

The information can come from one record or several together, such as invoices, bank statements, supplier agreements and contracts. [1]

The NZ$200 and NZ$1,000 thresholds

For a sale of NZ$200 or less (including GST), you do not need to give taxable supply information to the buyer, but you and a registered buyer must each keep your own records of it. [2]

For NZ$200 or less, the record needs your name or trade name, the date, a description and the consideration (the price). [1]

Over NZ$200 and up to NZ$1,000, add your GST number and the GST amounts. Buyer details are not required. [1]

Over NZ$1,000, also show a GST-registered buyer's name and at least one identifier. [1]

When a customer asks

For supplies over NZ$200, give taxable supply information to a GST-registered buyer within 28 days of a request, or by another date you both agree. [1]

Provide it once. If the buyer loses it, you can send a copy, and you do not need to mark it as a copy. [2]

Registration, rates and corrections

You must register for GST if your turnover from a taxable activity was at least NZ$60,000 in the last 12 months or is expected to be in the next 12, or if you add GST to the price of what you sell. [4]

GST is usually 15%. Sales by a person who is not registered for GST have no GST added. [2]

Some supplies are zero-rated (GST at 0%), such as exported goods. Exempt supplies, such as financial services and rent on a private home, have no GST. [2]

Debit and credit notes are now supply correction information. You must provide it when taxable supply information showed an incorrect amount of GST. [2]

Make this invoice in Clodou

  • Set your workspace's tax country to New Zealand. The tax line then reads "GST", your GST number prints as "GST no.", and invoices that charge GST are titled "TAX INVOICE". IRD no longer requires that title, and says a document marked "tax invoice" still works.
  • Write one message, such as "Invoice Ridgeline Cafe NZ$2,400 for the website build". Clodou finds or creates the client, numbers the invoice (INV-0001, INV-0002…), adds GST at 15% on top of your prices and prints the subtotal before GST, the GST amount and the total with GST. If a price is missing, it asks instead of guessing.
  • The client block prints the client's name with the address, email and phone you hold, which covers the buyer details IRD asks for over NZ$1,000.
  • Turn a quote into an invoice in one step with the same taxes, invoice your unbilled time, let monthly retainers draft their invoices, and record part payments with the balance left. The CSV export lists each tax separately for your accountant.
  • Clodou shows an approval card before it emails a client or records a payment. Records it creates can be undone for 10 minutes, and its actions are kept in the activity log.

What Clodou does not do

  • Clodou does not check compliance. This page lists what IRD asks for and how Clodou prints it; check your invoices with your accountant or tax agent.
  • No GST returns: Clodou does not file with IRD. It is not bookkeeping software either: no ledger, no bank feeds, no payroll.
  • Prices are entered before GST, and GST is added on top. There is no GST-inclusive pricing mode, so Clodou always prints the three amounts rather than a GST-inclusive total with a statement.
  • No eInvoicing (Peppol), no supply correction information (credit or debit notes), and no buyer-created taxable supply information.
  • No currency conversion: an invoice in another currency keeps every amount, GST included, in that currency, not in NZD.
  • No card processing, client portal or e-signature. On the Team plan, the PDF prints your own payment link.

Questions

Do I still need a tax invoice in New Zealand?
Not under that name. Since 1 April 2023, IRD asks for taxable supply information: a minimum set of details that can sit on one invoice or across several records. You can still issue a single document titled "tax invoice", and invoicing that met the old rules meets the new ones.
Is my GST number the same as my IRD number?
It may be. IRD's GST guide says the registration confirmation it sends includes your GST number, which may be the same as your IRD number. Show it on invoices for supplies over NZ$200.
Do sole traders have to register for GST?
You must register if your turnover from a taxable activity was at least NZ$60,000 in the last 12 months or is expected to be in the next 12, or if you add GST to your prices. Below NZ$60,000 you can register voluntarily. If you are not registered, do not add GST to your invoices.
Can I invoice New Zealand customers in another currency?
For taxable supply information, IRD's GST guide says amounts of money must be expressed in New Zealand currency. Clodou sets the currency per document but does not convert amounts, so keep GST invoices for NZ customers in NZD. For clients overseas, ask your adviser how GST applies.
Does Clodou file my GST return or check my invoices?
No. With your workspace set to New Zealand, Clodou prints the details listed on this page, but it does not check compliance, file GST returns or keep your books. Check your invoices with your accountant or tax agent.
How much does Clodou cost?
The Free plan includes 20 AI requests and 3 quotes or invoices a month. Solo is US$29 a month or US$290 a year per workspace, and Team, with 5 seats, is US$79 a month or US$790 a year. Prices are in US dollars. Every new workspace starts with a 14-day trial of Team, no card needed.
