Invoice templates / Canada

Canadian invoice template with GST/HST, QST and PST

For freelancers and small businesses in Canada that charge GST/HST, plus QST in Quebec or PST in British Columbia, Saskatchewan or Manitoba. Here is what the CRA and Revenu Québec ask an invoice to show at each amount, which rate applies where, and a sample Montreal invoice with GST 5% and QST 9.975% on separate lines. Every rule links to the official page it comes from.

What an invoice must show in Canada

  • Your business name

Your business or trading name (or your intermediary's name), on every invoice whatever the amount. [1]

  • The invoice date

The invoice date or, if no invoice is issued, the date the GST/HST is paid or payable. Needed at every amount. [1]

  • The total

The total amount paid or payable. Needed at every amount. [1]

  • Your GST/HST number, from $100

From $100, your GST/HST registration number: your 9-digit Business Number, the letters RT for the GST/HST program and a 4-digit account number. [1]

  • The GST/HST charged, from $100

From $100, the total GST/HST charged, or a statement that the price of each taxable item includes GST/HST at the applicable rate. [1]

  • Which items are taxable, from $100

From $100, when one invoice mixes taxable and exempt supplies, an indication of the status of each one. [1]

  • Your client's name, from $500

From $500, the buyer's name or trading name, or the name of their authorized agent or representative. [1]

  • What you supplied, from $500

From $500, a description of each supply sufficient to identify it. [2]

  • Terms of payment, from $500

From $500, the terms of payment. [1]

  • In Quebec: your GST and QST numbers, from $100

From $100, Revenu Québec asks for both the supplier's GST and QST registration numbers. [3]

  • In Quebec: the QST and a description at every amount

For the QST, Revenu Québec's table asks for the amount of tax and a description of the property or service even under $100. [3]

  • In Quebec: no 14.975% on the invoice

Whichever way the taxes are calculated, the 9.97%, 14.97% and 14.975% rates must not appear on the document attesting to the sale. GST shows at 5% and QST at 9.975%. [4]

Rules worth knowing

What changes at $100 and $500

The CRA's table has three bands by total sale: under $100, $100 to $499.99, and $500 or more. Each band adds to the one before. [1]

The same thresholds are in section 3 of the Input Tax Credit Information (GST/HST) Regulations: less than $100, $100 or more and less than $500, and $500 or more. [2]

These details back your client's input tax credits. If a client asks for an invoice or receipt so they can claim them, you have to give the information that matches the amount of the sale. [1]

Small suppliers, with $30,000 or less of worldwide taxable supplies in a single calendar quarter and over the last four consecutive quarters, don't have to register. If you don't register, you don't charge GST/HST and you can't claim input tax credits. You can also register voluntarily. [1]

Which rate applies where

The rate depends on the type of supply, where it is made (the place of supply) and who it is made to. [5]

GST is 5% in Alberta, British Columbia, Manitoba, Quebec, Saskatchewan and the three territories. HST is 13% in Ontario, 14% in Nova Scotia (since April 1, 2025) and 15% in New Brunswick, Newfoundland and Labrador and Prince Edward Island. [5]

For services, the general rule is the province of your client's address, when you get that address in the normal course of business. For goods you deliver, mail or ship, it is generally the province where they are delivered or sent. [6]

Zero-rated supplies are taxable at 0%, so no GST/HST is charged on them; exempt supplies are not subject to GST/HST at all. [7]

Certain services to a non-resident, such as certain advisory, professional or consulting services, may be zero-rated, but not when they are provided to an individual while that person is in Canada. [8]

Quebec: GST and QST on the same invoice

GST is 5% of the selling price. QST is 9.975% of the selling price excluding the GST. [9]

Revenu Québec administers the GST/HST in Quebec, so a business carrying on commercial activities in Quebec registers for both taxes with Revenu Québec. [9]

A Quebec business registered for the GST/HST must collect HST on sales it makes in New Brunswick, Newfoundland and Labrador, Nova Scotia, Ontario and Prince Edward Island. [9]

You must register for the GST and QST once your worldwide taxable supplies, with your associates', exceed $30,000 in a calendar quarter or in the four preceding quarters. [10]

Only fractions of half a cent or more round up to the next cent. With several items, you can work out the GST and QST on the total before rounding. [4]

GST plus PST: British Columbia, Saskatchewan and Manitoba

These provinces add a provincial sales tax to the 5% GST: 7% in British Columbia, 6% in Saskatchewan and 7% in Manitoba. [5]

In B.C., unless an exemption applies, PST is charged on goods, software, accommodation and related services, legal services, online marketplace services and telecommunication services. It is worked out on the price before GST: $100 + $7 PST + $5 GST = $112. [11]

In B.C., a collector must show the PST it levies as a separate item on the receipt, bill or invoice. [12]

In Manitoba, vendors must state separately on each invoice the sale price of each item and the total retail sales tax (RST) payable. [13]

Manitoba businesses with annual taxable sales under $30,000 don't have to register or collect RST. They pay RST on their purchases, must say on the invoice that RST is included in the price, and must not itemize it. [13]

Make this invoice in Clodou

  • Set your workspace's tax country to Canada: the tax line reads GST/HST, your number prints as GST/HST no. under your business name, and CAD is suggested as your currency. Each invoice can also use its own currency.
  • Up to four taxes on one invoice, such as GST 5% + QST 9.975% or GST 5% + PST 7%. Each is worked out on the lines it applies to, rounded once to the cent and printed on its own line with its rate. Save your usual pair as the default taxes in Settings.
  • A line can carry its own taxes or none, for a zero-rated or exempt item. The PDF then adds a rate column that lists each rate separately (5% + 9.975%, never 14.975%), and a tax that covers only some lines says which amount it applies to.
  • Ask in plain words, such as "Invoice Maple Studio for 20 hours at $110, GST and QST". Clodou finds or creates the client, numbers invoices INV-0001, INV-0002 and on, and asks when a price, quantity or rate is missing instead of guessing. It emails a client only after you approve, and Undo works for 10 minutes.
  • A quote becomes an invoice in one step with its taxes, monthly retainer drafts carry theirs, unbilled time turns into invoice lines, payment reminders wait for your approval, partial payments show what is left, and the CSV export breaks down each tax (GST 5%: 50.00; QST 9.975%: 99.75).

What Clodou does not do

  • No compliance check and no automatic tax by province: you, or Clodou's chat on your instruction, set the taxes on each invoice. Check the place of supply and the rates with the CRA, Revenu Québec or your accountant.
  • One tax number field. Your GST/HST number prints under your business name; your QST number has no field of its own, so it goes in the notes. Notes belong to each invoice: add it to every one, retainer drafts included.
  • No GST/HST or QST returns, no bookkeeping or ledger, no bank feeds and no payroll.
  • English only: no French-language invoices. No credit notes, no client portal and no e-signature.
  • No card processing: the Team plan prints your own payment link on invoices. Amounts are never converted between currencies.

Questions

What does an invoice need to show in Canada?
It depends on the total. Under $100: your business name, the date and the total. From $100: also your GST/HST registration number, the GST/HST charged (or a statement that prices include it) and which items are taxable when some are exempt. From $500: also your client's name, a description of what you supplied and the terms of payment. These are the CRA's input tax credit rules, so they matter most when your client is registered for GST/HST.
Is it $30 and $150, or $100 and $500?
$100 and $500. Some guides still show $30 and $150, but the CRA's guide RC4022 and section 3 of the Input Tax Credit Information (GST/HST) Regulations use three bands, based on the total amount paid or payable: under $100, $100 to $499.99, and $500 or more.
How do I show GST and QST on a Quebec invoice?
Charge GST at 5% of the price and QST at 9.975% of the price excluding GST, and show each on its own line. From $100, the invoice also needs both your GST and your QST registration numbers. Revenu Québec says the combined 14.975% rate must not appear on the document. In Clodou, give the invoice GST 5% and QST 9.975% (or make them your workspace defaults) and put your QST number in the notes.
Do I charge GST/HST if I'm not registered?
No. A small supplier, with $30,000 or less of worldwide taxable supplies in a single calendar quarter and over the last four consecutive quarters, doesn't have to register, and if you don't register you don't charge GST/HST or claim input tax credits. Above $30,000 you must register. In Clodou, an invoice can carry no tax at all.
Which rate do I charge a client in another province or outside Canada?
For services, the general rule is the province of your client's address, when you get it in the normal course of business. A Montreal freelancer invoicing a Toronto client generally charges HST at 13%. Certain services to clients outside Canada, such as certain advisory, professional or consulting services, may be zero-rated. Clodou does not decide this: you tell it which taxes to charge, and check unusual cases with the CRA or your accountant.
How much does Clodou cost?
The Free plan includes 20 AI requests and 3 quotes or invoices a month. Solo is US$29 a month or US$290 a year, and Team is US$79 a month or US$790 a year with 5 seats, per workspace. Every new workspace starts with a 14-day trial of Team, no card needed. Your invoices can be in CAD.
