How to Create an Invoice With ChatGPT (and What to Check)

How to create an invoice with ChatGPT: a copy-paste prompt, how to get a file, what to check before you send it, and when an invoicing tool fits better.

ChatGPT can draft an invoice in under a minute if you give it every detail. What it does not do on its own is keep your invoice numbers in sequence, know which invoices are paid, or check the tax you should charge. This guide gives you a prompt that leaves nothing to guess, the ways to turn the draft into a file, a checklist for before you send it, and the privacy settings worth changing first.

Everything said here about ChatGPT was checked on OpenAI's own help pages on November 1, 2026 (sources at the end). Plans and features change often, so follow the links for the current details.

Can ChatGPT make an invoice?

Yes, as a draft. It lays out the parties, line items, subtotal, tax and total from the details you type, and it can rewrite the wording or the layout as often as you like. Treat it as a drafting tool rather than an invoicing system: nothing in OpenAI's documentation describes invoice numbering, invoice statuses or payment tracking, so those stay your job.

Step 1: Gather the details first

ChatGPT only knows what you tell it, and a missing detail is where invented text creeps in. Have these ready:

  • Your details: name or business name, address, email, and your tax number if you are registered for sales tax, VAT or GST.
  • The client's billing details: legal name, company, billing address and the email of whoever pays.
  • The invoice number: the next one in your own sequence (for example INV-0042).
  • Dates: issue date, and a due date or payment terms such as net 30.
  • Line items: description, quantity, unit (hours, days, items) and rate for each.
  • Tax: the rate and the word your country uses, or "no tax".
  • Currency and payment instructions: bank details or a payment link.

Our guide on how to make an invoice as a freelancer explains each field and why clients' accounts teams ask for it.

Step 2: Use a prompt that leaves nothing to guess

Paste this into a new chat and replace everything in brackets. The two instructions that matter most are "do not invent anything" and "show your arithmetic".

Create an invoice as a clean table I can paste into a document.
Use exactly these details. Do not invent anything; if a detail is missing, ask me.

From: [Your name or business], [address], [email], [tax number if you have one]
Bill to: [Client legal name], [company], [billing address], [email]
Invoice number: [INV-0042]
Issue date: [November 5, 2026]. Due date: [December 5, 2026] (net 30)
Currency: [USD]
Line items:
- [UX design], [12.5] hours at [$85] per hour
- [Logo design], 1 item at [$1,200]
Tax: [none / sales tax 8.25% / VAT 20%]
Payment instructions: [bank transfer details or payment link]
Note: [Thank you for your business.]

Show each line amount, the subtotal, the tax and the total, and show your arithmetic.

For a day rate, write the line as "[3] days of [consulting] at [$1,500] per day". For a fixed fee, give one line with quantity 1. If you bill per word, give the word count and the rate per word. Then ask for changes in plain words: "move the payment instructions under the total" or "make the due date bold".

Step 3: Turn the draft into a file

You have three practical options.

  1. Paste it into your own template. Copy the table into a Word or Google Docs invoice template with your logo, then export a PDF. This is the most predictable route, and the layout stays the same from one invoice to the next.
  2. Ask ChatGPT Work for a document or a spreadsheet. OpenAI's Work feature creates and edits documents and spreadsheets from a description, and can start from a reference file you save as a template. Created files are kept in your Library, where you download them. Work is offered on Plus and Pro on the web and on mobile, and in a limited form on the desktop app for Free and Go, according to OpenAI's pricing page.
  3. Use data analysis to check the numbers. In a chat, data analysis runs Python and handles spreadsheets and CSV files. It is a good way to recompute totals, even if you build the invoice itself elsewhere.

Whichever route you take, open the file you download and read it before you send it. OpenAI's own help pages say to check the content, layout and formulas of what ChatGPT creates.

Reusing your setup. A ChatGPT project can hold your invoice template file and standing instructions ("always use my business details, ask me for the next invoice number"), so each new invoice starts from the same base. Do not plan on a custom GPT for this: OpenAI no longer lets personal accounts create new GPTs, and its help page schedules the standard retirement of GPTs for December 11, 2026.

Step 4: Check before you send

  • Every line and the total. Recompute them with a calculator or a spreadsheet. OpenAI says ChatGPT can give incorrect answers that sound confident, and advises checking important information.
  • The invoice number. Is it the next one in your sequence, and not one you already used? ChatGPT has no way to know unless you tell it.
  • The tax. The rate and the word (sales tax, VAT, GST) come from you. OpenAI's terms say outputs are not a substitute for professional advice, so ask your accountant if you are unsure.
  • Names and addresses. The client's legal name and billing address, and your own tax number where your country requires it.
  • Dates and currency. Issue date, due date and currency symbol, all matching what you agreed.
  • Layout. Compare it with your last invoice: ChatGPT can change wording or move fields between runs.

Privacy: what you paste into ChatGPT

An invoice contains your client's name, address and what they pay you. Before you paste that into a chat, check these settings (as described by OpenAI on November 1, 2026):

  • Model training. On Free, Go, Plus and Pro, conversations can be used to improve OpenAI's models by default. You can turn this off with the "Improve the model for everyone" toggle in Settings, under Data controls. Giving a thumbs up or down can still share that conversation for training.
  • Business and Enterprise. Content in these managed workspaces is not used for training by default.
  • Temporary Chat. A temporary chat is not used for training and does not create memories, but OpenAI may keep it for up to 30 days for safety, and files created in it are not saved to your Library, so download them before you close it.
  • Memory. ChatGPT can remember details from past chats. You can turn Memory off, or delete what it remembered, in Settings, under Personalization.

What ChatGPT leaves to you

Job What OpenAI documents What you do
Numbering invoices in order No numbering feature Keep a log and give the next number each time
Knowing what is paid No invoice status or payment tracking Track it in a spreadsheet or an invoicing tool
Reminding late clients Scheduled tasks remind you, not your client; connected apps can act on other apps with your OK Send the reminder yourself
Remembering your clients Memory keeps what it judges relevant, not every detail Paste the client's details each time
Getting the totals right It can make mistakes; data analysis helps with calculations Recompute before sending
Choosing the tax to charge Not covered, and outputs are not professional advice Check your local rules or ask an accountant

None of this makes ChatGPT a bad choice for one or two invoices a month. It becomes work once you have several clients, need to know who owes you money, and want reminders that go out on time. Our payment terms guide and reminder email templates help with the follow-up either way.

When an invoicing agent fits better

Clodou is an AI back office that works on real records instead of text. You type "Create an invoice for Atlas Design: 3 days of consulting at $1,500 a day" and it finds the client (or adds it), numbers the invoice in your workspace's sequence (INV-0001, INV-0002…), applies the tax rate you set, and the invoice PDF, with your logo and business details, is ready to download or email from the app. Quotes and invoices use your country's tax words: sales tax, VAT, GST or GST/HST.

Because the invoice is a record, Clodou knows what is draft, sent, paid and overdue, and can tell you who owes you money or draft a reminder. It never invents a price: if an amount is missing, it asks. Emailing a client or recording a payment waits for your approval, and most changes can be undone for 10 minutes. It is not accounting software, so there are no bank feeds or bookkeeping. Every new workspace starts with a 14-day trial of Team, no card required; after that, the Free plan includes 20 requests and 3 quotes or invoices a month. Frequently asked questions

Can ChatGPT create a PDF invoice?

OpenAI documents that ChatGPT Work creates documents and spreadsheets you download from your Library, on eligible plans. The simplest reliable route is still to paste the draft into your own template and export a PDF yourself.

Is it free to make an invoice with ChatGPT?

You can draft an invoice in a free chat. According to OpenAI's pricing page, Work and data analysis are limited on the Free plan and included on paid plans.

Can ChatGPT decide which tax to charge?

No. Give it the rate and the tax word yourself. OpenAI's terms say outputs are not a substitute for professional advice, and tax rules depend on where you and your client are.
